Terms and Conditions

These terms apply to your booking of a place on the European Seminar on Frontier AI and Law (the "Seminar"). They form a legal contract between you and us, so please read them before you pay. By paying for your place you confirm that you have read, understood and accepted these terms.

1. Who we are

The Seminar is run by ML4Good Ltd ("we", "us", "our"), a private company limited by guarantee, registered in England and Wales under company number 16065072, with its registered office at 49 Station Road, Polegate, England, BN26 6EA.

You can contact us at any time by email at info@ml4good.org. We aim to respond to booking and support enquiries within 10 working days, and usually much sooner.

In these terms, "you" and "your" mean the person applying for and attending the Seminar. Where a place is booked and paid for by your employer or another organisation, sections 14 and 18 explain how the terms apply differently to that organisation.

2. The Seminar

The Seminar is a five-day residential programme for legal professionals, scheduled to run from 11 to 16 September 2026 at Fair Oak Farm, near London (the "Venue"). There are 20 places.

The price of your place includes accommodation at the Venue, all meals during the Seminar, and all teaching materials for the full five days. It does not include travel to and from the Venue, or any personal expenses you incur.

3. How a place is offered

Places are offered through a selection process:

1. You complete the short application form.
2. A member of the teaching team reviews your application and replies, normally within ten working days.
3. Shortlisted applicants have a short call to confirm fit and expectations.
4. If we offer you a place, you secure it by paying the fee.

We review and select applicants individually, and we are not obliged to offer a place to anyone. An offer of a place is held open for 7 days; if we have not received your payment within that time, the offer may lapse and the place may be offered to another applicant.

4. When your booking becomes binding

A binding contract between you and us is formed when both of the following have happened: (a) we have confirmed your place, and (b) we have received your payment in full. At that point your place is reserved for you.

5. Price and what is included

The fee for the first edition is:

• £800 for a place with a single-room
• £600 when sharing with another participant

All prices are in pounds sterling (GBP) and are the total amount payable. We are not registered for VAT, so no VAT is added to these prices.

A limited number of reduced-price places may be available, entirely at our discretion, to support strong candidates for whom cost is a barrier. Any reduced price we agree with you is the fee that applies to your booking, and all of these terms (including the cancellation and refund terms in section 7) apply to it in the same way.

6. Payment

Payment is made online by card through our payment provider, Stripe. Your card details are handled by Stripe and are not stored by us. By paying, you authorise the charge for the place you have selected.

Payment is due by the date stated in your offer. Your place is not reserved until payment has been received in full.

7. Cancellation and refunds

This section sets out when you can cancel your booking and what refund you will receive. It is separate from section 8, which covers what happens if we change or cancel the Seminar.

a) Your 14-day right to change your mind (consumers)

If you book as a private individual (a consumer), you have a legal right to cancel within 14 days of making your booking, without giving a reason. This period starts the day after we confirm your place and receive your payment.

To cancel, email us at info@ml4good.org with a clear statement that you wish to cancel, or complete and return the cancellation form at the end of these terms. If you cancel within this period, we will refund the full amount you paid, with no deduction, within 14 days of receiving your notice.

This right does not apply where your place is booked or paid for by an employer or another organisation (see sections 14 and 18). It also may not apply to the parts of the booking that relate to accommodation and catering on fixed dates; where that is the case, the rest of this section still applies to your booking.

b) Cancelling after the 14-day period

If you cancel after the 14-day period above, or if that right does not apply to your booking, the refund depends on how far before the start date (11 September 2026) we receive your cancellation in writing:

• More than 60 days before: full refund, less a £50 administration fee.
• Between 30 and 60 days before: 50% of the fee.
• Fewer than 30 days before, or if you do not attend: no refund.

The relevant date is the date we receive your written cancellation by email at info@ml4good.org.

c) Reduced-price places

If you booked a reduced-price place, the same terms apply, calculated against the reduced fee you actually paid.

8. If we change or cancel the Seminar

We may make minor changes to the Seminar, for example, to the timetable, the individual teachers, or the precise arrangements at the Venue, without any reduction in the fee.

If we cancel the Seminar, or are unable to run it, you will receive a full refund of all fees you have paid to us. Where we are able to offer rescheduled dates instead, you may choose either a full refund or to transfer your place to the new dates.

A refund of the fees you have paid is the full extent of our responsibility to you if we change or cancel the Seminar. In particular, we are not responsible for any travel, accommodation, time or other costs you incur in connection with a cancelled or changed Seminar. Please see section 12 (Our responsibility to you).

9. Events outside our control

We are not responsible for any failure or delay in running the Seminar that is caused by events outside our reasonable control, including (for example) severe weather, fire or flood at the Venue, epidemic or pandemic, the failure of utilities or transport networks, AI loss-of-control scenario, or government action. If such an event affects the Seminar, we may postpone or cancel it, and section 8 sets out what you are entitled to in that case.

10. Your responsibilities

When you apply and attend, you agree that:

• the information you give us is accurate and complete;
• you will tell us, in good time before the Seminar, of any relevant requirements, so that we can make reasonable arrangements for a residential stay. We will use this information only to support your attendance and in line with our Privacy Policy;
• you will comply with our Code of Conduct and with the reasonable rules of the Venue while you are there; and
• you are responsible for any loss or damage you cause to the Venue or its property.

11. Conduct at the Seminar

Attendance is subject to our Code of Conduct. We want the Seminar to be a safe and productive environment for everyone. We may require any participant to leave the Seminar if their behaviour is, in our reasonable opinion, unsafe, unlawful, or seriously disruptive to other participants or staff. Where we do so, no refund is payable, and you remain responsible for your own onward travel and costs.

12. Our responsibility to you

Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited or excluded by law.

Subject to that, our total liability to you arising from your booking and attendance is limited to the amount of the fee you paid for your place. We are not responsible for your travel or other personal arrangements, or for losses that were not reasonably foreseeable.

The Venue is responsible for the safety and condition of its premises; we are not the operator of the Venue.

The Seminar is educational. The content is provided for general professional development and does not constitute legal advice, and we do not warrant any particular professional or commercial outcome from attending.

13. Course materials and intellectual property

We (or our teachers and partners) own all intellectual property in the teaching materials. We provide them to you for your own personal and professional use. You may not record sessions, or copy, share, publish or commercially exploit the materials, without our prior written permission.

14. Bookings made by an employer or organisation

Where your place is booked or paid for by your employer or another organisation rather than by you personally, that organisation is our customer and is bound by these terms. In that case, the booking is a business-to-business contract, the consumer-specific provisions above do not apply to the organisation, and (so far as the law allows) we exclude all implied terms, and we are not liable to the organisation for any indirect or consequential loss, or for any loss of profit, revenue or opportunity.

15. Your personal data

We process your personal data in accordance with our Privacy Policy, which explains what we collect, why, and your rights. By making a booking you confirm that you have read it.

16. Complaints

If something is wrong, please tell us as soon as possible at info@ml4good.org so that we can try to put it right. We take complaints seriously and aim to respond within 10 working days.

17. Changes to these terms

We may update these terms from time to time. The version of the terms in force at the time you make your booking is the version that applies to your booking.

18. General

These terms are the entire agreement between us in relation to your booking, and replace any earlier discussions or representations. If we do not enforce a right under these terms on one occasion, that does not prevent us from enforcing it later. If any part of these terms is found to be unenforceable, the rest of the terms continue to apply.

19. Governing law

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. If you are a consumer resident elsewhere in the UK or in the EU, you may also be entitled to bring proceedings in the courts of the country where you live, and to benefit from mandatory consumer protections that apply there.
